What is an INVRPT message?

The INVRPT (Inventory Report) is an EDI message that communicates stock levels, inventory movements, and warehouse data between trading partners. Unlike the other four messages which follow a strict buyer-to-supplier or supplier-to-buyer direction, INVRPT can flow in both directions — for example, a retailer sending stock-on-hand data to a supplier to trigger VMI replenishment, or a 3PL sending a warehouse stock report to the brand owner.

In Vendor Managed Inventory (VMI) programmes, INVRPT is the primary input: the supplier receives daily or weekly stock and sales data via INVRPT and uses it to proactively generate replenishment orders on behalf of the retailer — removing the need for the buyer to issue ORDERS manually.

Frequently Asked Questions

How often is INVRPT typically sent?

Frequency depends on the trading agreement. In VMI programmes, retailers typically send INVRPT daily (sometimes twice daily for fast-moving categories). For 3PL reporting to brand owners, weekly is common. High-frequency INVRPT is also possible — some retailers send real-time or near-real-time stock updates for critical categories.

What is the difference between INVRPT and SLSRPT?

INVRPT reports current stock on hand (inventory levels), while SLSRPT (Sales Report) reports sales velocity and throughput. In VMI, both are often used together: SLSRPT tells the supplier how fast items are selling, and INVRPT tells them how much stock is left. Together they allow accurate replenishment forecasting.

Can INVRPT include batch and expiry date information?

Yes. The PIA segment captures batch numbers and lot IDs, and DTM with qualifier 36 (expiry date) can be added at the line level. This is particularly important in pharmaceutical, food, and cosmetics supply chains where FEFO (First Expiry, First Out) rotation and batch traceability are regulatory requirements.

What is the ANSI X12 equivalent of INVRPT?

In ANSI X12, the equivalent transaction set is 846 (Inventory Inquiry/Advice). It is widely used in North American retail and grocery, especially in VMI programmes between suppliers and distributors or large retail chains.
